Archiving and Deposit Policy

Indonesian Journal of Policing and Security Studies, published by COLLEGIUM JUSTICIA INDONESIA, is committed to ensuring the long-term preservation, accessibility, and availability of its scholarly content.

The journal recognizes digital preservation and repository deposit as essential components of responsible Open Access publishing. This policy establishes the journal's approach to archiving, preservation, and author self-deposit of published articles.

1. Purpose of the Policy

The Archiving and Deposit Policy is intended to:

  • Ensure the long-term preservation of published articles;

  • Maintain continued access to the scholarly record;

  • Support discoverability and dissemination of published research;

  • Enable authors to preserve and share their scholarly work;

  • Reduce the risk of permanent loss of digital publications; and

  • Support continuity of access in the event of changes to the journal's publishing platform.

2. Digital Preservation

The journal takes reasonable measures to preserve its published content and associated bibliographic metadata.

The preservation process may include:

  • Maintaining digital copies of published articles;

  • Maintaining article metadata and DOI information;

  • Maintaining appropriate backups of journal content;

  • Depositing content in suitable digital repositories or preservation services;

  • Maintaining archived versions of published content; and

  • Periodically reviewing the integrity and accessibility of archived files.

The journal may use recognized third-party digital preservation, repository, indexing, or archiving services to support long-term preservation.

3. Version of Record

The Version of Record (VoR) is the definitive published version of an article after completion of editorial processing, peer review, copyediting, typesetting, and publication.

The Version of Record may be deposited by authors in appropriate repositories without an embargo, subject to the applicable copyright and licensing terms.

Where possible, repository copies should retain:

  • The article title;

  • Author names;

  • Journal title;

  • Publication year;

  • Volume and issue information;

  • DOI;

  • Original publication citation; and

  • A link to the journal's official Version of Record.

4. Author Self-Archiving

Authors are permitted to deposit their published articles in appropriate repositories and scholarly platforms.

Authors may deposit the published Version of Record in:

  • Institutional repositories;

  • Subject repositories;

  • National repositories;

  • Government or research repositories where appropriate;

  • Academic websites;

  • Research information systems; and

  • Other legitimate scholarly repositories.

There is no embargo period for author self-archiving of the Version of Record.

5. Permitted Repository Deposit

The journal permits repository deposit of published articles for purposes including:

  • Research dissemination;

  • Academic communication;

  • Institutional preservation;

  • Educational use;

  • Public access to scholarly research; and

  • Long-term digital preservation.

Authors should use the published Version of Record where possible and should retain the article's DOI and citation information.

6. Open Access and Archiving

The journal operates under an Open Access model.

All published articles are freely available from the journal's official website immediately upon publication.

The journal does not impose an embargo on:

  • Public access to published articles;

  • Repository deposit of the Version of Record; or

  • Author sharing of the published article in accordance with the applicable license.

7. Copyright and Licensing

Authors retain copyright in their published articles in accordance with the journal's Copyright and Licensing Policy.

Unless otherwise stated, published articles are distributed under the:

Creative Commons Attribution 4.0 International (CC BY 4.0) License.

This license permits authors and other users to share and redistribute the published material, subject to appropriate attribution and the other terms of the license.

Repository copies should retain the applicable copyright and licensing information.

8. Deposit of Metadata

The journal may deposit and distribute article metadata through appropriate scholarly communication and indexing services.

Metadata may include:

  • Article title;

  • Author names and affiliations;

  • Abstract;

  • Keywords;

  • DOI;

  • Publication date;

  • Volume and issue;

  • References, where appropriate;

  • Licensing information; and

  • Other bibliographic information necessary for discovery and indexing.

Metadata may be made available through indexing services, repositories, DOI registration agencies, library systems, and other scholarly infrastructures.

9. DOI and Persistent Identification

Each published article will be assigned a DOI or other persistent identifier where applicable.

The DOI is intended to provide a stable and persistent reference to the published Version of Record.

Authors and repositories are encouraged to retain and display the DOI when depositing or sharing published articles.

Where the journal's platform changes, reasonable efforts will be made to maintain the persistence and resolution of article identifiers.

10. Archiving of Journal Issues

The journal will maintain an archive of its published issues and articles through its official publishing platform.

The archive may include:

  • Current issues;

  • Previous issues;

  • Article files;

  • Article metadata;

  • Publication dates;

  • DOI information; and

  • Correction, retraction, or other post-publication notices.

The journal aims to maintain access to its complete publication history from the first publication year onward.

11. Preservation of Published Content

The journal may maintain multiple digital copies or use distributed preservation mechanisms to reduce the risk of data loss.

Where technically and operationally appropriate, preservation may include:

  • Regular digital backups;

  • Redundant storage;

  • Institutional repositories;

  • Digital preservation services;

  • Cloud-based archival infrastructure; and

  • Other appropriate preservation technologies.

The specific technical preservation mechanisms may evolve over time.

12. Long-Term Accessibility

The journal is committed to maintaining long-term access to published articles.

If the journal's publishing platform changes, the publisher will make reasonable efforts to migrate or preserve published content and associated metadata.

If publication operations are interrupted or discontinued, the publisher will seek to preserve the existing scholarly record through appropriate repositories or archival services.

13. Journal Discontinuation

If Indonesian Journal of Policing and Security Studies ceases publication, the publisher will seek to maintain access to previously published articles and associated metadata.

Previously published articles should remain part of the scholarly record and should not be removed solely because the journal is no longer actively publishing new issues.

Where possible, archival copies will remain accessible through the journal's platform, institutional repositories, digital preservation services, or other appropriate scholarly infrastructure.

14. Post-Publication Changes

The journal preserves the integrity of the published scholarly record when corrections, retractions, or Expressions of Concern are issued.

When an article is corrected, the journal will maintain the original publication record while clearly identifying the correction.

When an article is retracted, the original article will normally remain in the archive with a clear retraction notice.

Repository and archival copies should, where technically possible, reflect significant post-publication notices associated with the Version of Record.

15. Special Issues

Articles published in Special Issues are subject to the same archiving and deposit provisions as articles published in regular issues.

Special Issue articles may be:

  • Archived by the journal;

  • Deposited in appropriate repositories;

  • Shared by authors under the applicable license; and

  • Preserved as part of the journal's permanent scholarly record.

Special Issue status does not create a separate embargo or restrict the author's repository rights.

16. Author Responsibilities

Authors are encouraged to:

  • Retain a copy of the final published article;

  • Deposit the Version of Record in an appropriate repository;

  • Include the article DOI;

  • Retain the original citation information;

  • Preserve the applicable Creative Commons license statement; and

  • Use the official journal version when possible.

Authors should not remove or alter copyright, licensing, DOI, or bibliographic information from the Version of Record when depositing it.

17. Repository Responsibilities

Repositories receiving deposited articles are expected to preserve the integrity of the deposited scholarly work and display appropriate citation and licensing information.

Repositories should, where technically possible:

  • Preserve the deposited file;

  • Maintain the DOI;

  • Identify the journal as the original publisher;

  • Link to the official Version of Record; and

  • Preserve the applicable copyright and licensing information.

18. No Embargo

The journal applies no embargo period to the repository deposit of the published Version of Record.

Authors may deposit and share the published article immediately following publication, subject to the terms of the applicable Creative Commons license and any rights relating to third-party material.

19. Third-Party Material

The CC BY 4.0 license applicable to an article does not automatically apply to third-party material contained within that article where such material is subject to separate copyright or licensing restrictions.

Authors and repository users are responsible for respecting applicable rights concerning:

  • Images;

  • Figures;

  • Tables;

  • Maps;

  • Photographs;

  • Datasets;

  • Extensive quotations; and

  • Other third-party materials.

Where necessary, third-party materials should be identified separately within the article.

20. Data and Supplementary Materials

Where authors publish supplementary materials or research data alongside an article, such materials may be archived or deposited separately where appropriate.

Authors are encouraged to use appropriate research-data repositories when the nature of the research permits.

Data containing confidential, personal, sensitive, restricted, or legally protected information must not be deposited publicly unless appropriate authorization, anonymization, or legal grounds exist.

21. Preservation of Research Integrity

Archiving and repository deposit must not be used to circumvent the journal's publication-ethics requirements.

If an article is corrected or retracted, the journal may request that repositories update the deposited record or display an appropriate notice.

The purpose of such measures is to ensure that readers are not misled by an outdated or unreliable version of the scholarly record.

22. Accessibility and Discoverability

The journal supports broad discoverability of its published research through:

  • The journal's official website;

  • DOI infrastructure;

  • Scholarly repositories;

  • Library discovery systems;

  • Abstracting and indexing services; and

  • Other appropriate academic dissemination channels.

The journal may distribute article metadata to third-party scholarly services to improve discoverability and citation tracking.

23. Archiving and Article Processing Charges

Archiving and repository deposit rights are included within the journal's Open Access publishing model.

The Article Processing Charge (APC) of IDR 5,000,000 per accepted article does not create additional charges for:

  • Author self-archiving;

  • Repository deposit;

  • Accessing the published article;

  • Downloading the Version of Record; or

  • Linking to the journal's official publication.

There is no separate archiving fee.

24. Commitment to Long-Term Preservation

Indonesian Journal of Policing and Security Studies is committed to preserving its published scholarly content as a permanent academic record.

The journal will make reasonable efforts to ensure that published articles remain:

  • Accessible;

  • Discoverable;

  • Citable;

  • Identifiable through persistent identifiers; and

  • Available for future scholarly use.

25. Policy Review

The Archiving and Deposit Policy may be periodically reviewed to reflect developments in digital preservation, repository infrastructure, Open Access, DOI systems, scholarly communication, and research-data management.

Any substantive changes to this policy will be communicated transparently through the journal's official website.
